This document sets out our Privacy Policy. It describes how we collect and manage your personal information when you interact with our website and services provided. PRIVACY POLICY - THE BASICS 

If you engage with us via our websites, or choose to become our client, we may ask to collect the following kinds of personal information from you, including:

  • Name, email address, phone number

  • Location, postal address

     

 

We may collect your personal information by various means including:

  • Email

  • Mailing list form

  • Automatically, through the use of cookies

 

 

We use this information to:

  • Respond to your enquiries

  • Provide you with relevant news and updates

  • Improve our services

  • Administrative purposes, if you become our client

  • Marketing purposes, you always have a choice to opt out

 

We will only collect your personal information with consent, such as when you email us, tick a checkbox or fill in a form to provide us with your information.

 

Sensitive Information

 

We understand that some personal information is particularly sensitive, and that you are trusting us to keep this information confidential. 

 

We will only collect sensitive information by methods that are reasonably secure, such as:

  • Intake form

  • Zoom or face-to-face

  • Client case notes

  • Email

 

The reason why we collect this information is:

  • Provide you with our services

  • Your health and safety

  • My responsibility as a qualified therapist

 

 

The sensitive information we ask you to provide for this purpose may include:

  • Medical history and existing medical conditions

  • Next of kin

  • Age and DOB

  • Relationship status

  • Past therapy experience

  • Current medications

 

 

We are committed to securely storing and handling your sensitive information:

  • Only authorised team members (Kimberly Nguyen) have access to sensitive material

  • Some sensitive information may be stored securely online, or in the cloud through Google Drive

 

You may choose not to provide us with your sensitive information. However, if you choose not to share this, we may not be able to provide you with the services that you request.

WHAT TO INCLUDE IN THE PRIVACY POLICY

All information disclosed within sessions are confidential, and by law may not be revealed to anyone without your permission, with the follow exceptions:

  • Duty to protect- If you disclose serious intent to harm yourself or another person, I may be obligated to contact others in an attempt to prevent harm. If you state that you/someone else is physically, sexually, or emotionally abusing or neglecting a child/dependent adult, I may be obligated to report this.

  • Supervision & Consultation- With intention to provide the best treatment, on occasion I may seek supervision or consult with professional colleagues, and anything mentioned will be without names or identifying information.

  • Authorised disclosure to designated third party- You may sign a written release of treatment information to an authorised third party. Or if ordered by court subpoena.

  • Collections- If you default payment, I may assign your account to a collection agency and disclose the amount owed, inclusive dates of service, and any relevant identifying information to that agency. This information may then appear on your credit report. The content of therapy services remains confidential and is not disclosed.

 

We may share some relevant information to our administrative team, or marketing team, to provide you with the services you request. See below.

 

Security

We take reasonable physical, technical and administrative safeguards to protect your information from misuse, interference, loss, and unauthorised access, modification and disclosure.

We manage risks to your information by:

  • Storing information securely

  • Conducting regular audits of our security systems
